My Pump Club Privacy Policy

My Pump Club ("we", "us", "our") is committed to protecting your privacy. This policy explains what personal information we collect through our website and our coaching app, why we collect it, how we use it, and what rights you have over it.

We are the "data controller" of the information you give us. If you have any questions about this policy or how we handle your data, contact us through the contact form on our website or the chat in the app.

1. How our website and app work together

Our website is where you can find out about our coaching and get in touch. All sign-ups, health questionnaires, coaching, bookings and payments are handled through My PT Hub, the coaching app we use to manage our clients.

2. What we collect

Through our website, we only collect what you choose to send us using the contact form, such as your name, email address and the content of your message.

Through My PT Hub, when you sign up and complete our questionnaire, we collect:

  • Personal details: first name, last name, date of birth, sex assigned at birth, address, mobile number and email address.

  • Health information: whether you have any medical conditions or injuries, your smoking or vaping status, whether you have a family history of diabetes or heart disease, and whether you are pregnant or postnatal. This is known in data protection law as "special category data", and we handle it with extra care (see Section 4).

  • Fitness information: your goals, current activity level, how much time you can commit to training, and whether you'd like nutritional guidance.

If you become a client, we'll also collect information as part of your coaching, such as check-in answers, training logs, body measurements, progress photos, nutrition information and messages between you and your coach.

We only ask for what we need to assess whether we're a good fit for you, and to train you safely and effectively.

3. Why we collect it (our lawful basis)

For your personal and fitness details, we rely on your consent when you sign up, and on the need to deliver the coaching you've signed up for.

For your health information, data protection law requires an extra level of protection. We rely on your explicit consent, which you give separately and clearly when completing the questionnaire. You can withdraw this consent at any time (see Section 8).

4. How we use it

We use your information to:

  • Assess whether our coaching is suitable for you.

  • Ask further questions, or carry out a more detailed physical readiness assessment, if we need more information before you start.

  • Plan and deliver safe, personalised coaching, including your programme, check-ins and any nutrition guidance.

  • Run your account, including bookings, payments and messages.

  • Reply to enquiries and complaints sent through our website or the app.

Signing up and completing the questionnaire is free and doesn't commit you to any charge. We only charge you once you choose a package or book your first session.

We don't use your information for marketing, and we never sell it. If we ever want to email you with tips, offers or news, we'll ask for your separate permission first. It will never be assumed from signing up.

We will never use your progress photos publicly, including on social media or our website, without your written permission. You can withdraw that permission at any time.

5. Who else sees your information

We don't share your information with anyone for their own purposes. We use a small number of trusted tools to run our business. These act as "processors", meaning they handle data on our behalf under their own data protection agreements and can't use it for anything else.

  • My PT Hub: our main coaching app. It stores and processes your personal details, health information, programmes, check-ins, progress photos, bookings and messages.

  • Stripe: processes your payments through My PT Hub. We never see or store your full card details.

  • Squarespace: hosts our website and stores messages sent through our contact form. Squarespace's servers are in the United States. Where your data is transferred there, Squarespace relies on recognised safeguards, including the UK Extension to the EU–US Data Privacy Framework and, where relevant, Standard Contractual Clauses.

We would only share your information beyond this if required by law (for example, a court order), or in a genuine medical emergency to protect your safety.

6. Cookies

Our website uses a small number of cookies needed to make the site work. It may also use Squarespace's built-in analytics cookies, which help us understand how visitors use the site. We don't use cookies to track you for advertising. You can control cookies through your browser settings at any time.

My PT Hub may use its own cookies when you use the app. These are covered by My PT Hub's own privacy and cookie policies.

7. How long we keep your information

  • Website enquiries: we keep contact form messages for as long as needed to deal with your enquiry, then delete them within [6 months] unless you go on to become a client.

  • If we can't offer you a place: we'll delete your questionnaire answers within 30 days of that decision, unless you ask us to keep you on file for future availability. In that case, we'll ask your permission separately.

  • If you become a client: we keep your information for as long as you're training with us, and for a limited time afterwards for legitimate business reasons, such as accounting records or if questions arise about your coaching. We delete your health information sooner than general account records once it's no longer relevant to your training.

  • If you cancel: your access to your programme and coaching content will end as set out in our Terms & Conditions. You can ask us to delete your data at any time (see Section 8).

8. Your rights

Under UK data protection law, you have the right to:

  • Access the personal information we hold about you.

  • Correct it if it's inaccurate or incomplete.

  • Ask us to delete it, in certain circumstances.

  • Restrict or object to how we use it.

  • Request a copy of the information you've given us in a portable format.

  • Withdraw your consent at any time. This won't affect anything we did with your data before you withdrew it, but we won't be able to assess your suitability for coaching, or keep coaching you, without the information covered by that consent.

To exercise any of these rights, contact us through the contact form on our website or the chat in the app. If you're unhappy with how we've handled your information, you can complain to the Information Commissioner's Office (ICO) at ico.org.uk/make-a-complaint. We'd really appreciate the chance to sort things out with you first.

9. Keeping your information secure

We take reasonable steps to protect your information, including limiting access to only the people who need it (in most cases, just your coach) and using My PT Hub's platform-level security to store it. No online system is 100% secure, but we don't hold more information than we need, and we don't keep it for longer than necessary.

10. Age

Our coaching is for adults aged 18 and over.

11. Changes to this policy

We may update this policy from time to time, for example if we start using a new tool or the law changes. We'll update the date at the top of this page when we do. If the change is significant, we'll let existing clients know directly through the app.
